How to set up your company in 10 minutes

Quick checklist to get Kontafico ready: company details, .p12 certificate, chart of accounts, and users.

Step 1: Organization details

Go to Settings → Organization and complete the legal name, trade name, tax ID, official email, and phone number.

Make sure the economic activity code matches your real business activity, since Hacienda cross-checks this with your invoices.

  • Legal name and trade name
  • Tax ID and tax ID type
  • Official email for notifications

Step 2: Upload the .p12 certificate

Upload your certificate in Settings → Certificate. Without the .p12 you cannot issue electronic documents.

If you do not have it yet, you can request it through Central Directo (BCCR).

Step 3: Chart of accounts and cost centers

Kontafico includes an IFRS chart of accounts for Costa Rica. You can customize it in Accounting → Chart of accounts.

Create cost centers to separate expenses by branch, project, or area.

Step 4: Users and permissions

Invite your accountant and team in Settings → Users. Assign roles based on responsibilities.

Recommended: owner (management), accountant, staff (operations).

Step 5: Issue your first invoice

Go to Invoicing → New invoice, add the client, products, and payment method. Issue the invoice and verify the status in the dashboard.
